About the Role

We are seeking a proactive and detail‑oriented Operations Specialist to support our Hong Kong office. This role combines logistics operations, procurement coordination, and office administration to ensure smooth day‑to‑day operations and an efficient working environment. The ideal candidate thrives in a fast-paced setting, communicates well across teams, and delivers with accuracy and professionalism.

Key Responsibilities

Logistics & Supply Chain Operations

  • Coordinate end‑to‑end logistics activities, including shipment scheduling, freight booking, customs clearance, and delivery tracking.
  • Liaise with suppliers, freight forwarders, and logistics partners to ensure timely and cost‑effective transport solutions.
  • Prepare and manage shipping documentation (invoices, packing lists, AWB/BL, import/export declarations).
  • Maintain accurate inventory data, monitor stock levels, and support replenishment planning.
  • Resolve delivery issues, delays, or discrepancies through effective problem-solving.
  • Support continuous improvement of logistics processes and cost optimization initiatives.

Office Administration & Operational Support

  • Oversee daily office operations, ensuring a well-organised and efficient workplace.
  • Manage office supplies, equipment maintenance, meeting room coordination, and facility-related arrangements.
  • Assist with vendor management, including sourcing, quotations, contract renewal, and payment processing.
  • Support equipment preparation and workspace setup etc
  • Coordinate company events, meetings, and internal communications where needed.
  • Ensure compliance with company policies, operational procedures, and local regulatory requirements.

Qualifications & Requirements

  • Diploma or Bachelor's degree in Business Administration, Supply Chain, Operations Management, or related field.
  • 5-8 year's experience in logistics coordination, operations, or office administration (experience in Hong Kong preferred).
  • Strong understanding of international shipping processes and customs requirements is appreciated
  • Proficient in Microsoft Office / Microsoft 365; experience with logistics systems preferred.
  • Excellent communication skills in English, Cantonese, and Mandarin.
  • Detail-oriented, organised, and able to manage multiple tasks under tight deadlines.
  • Positive attitude and a strong sense of ownership.
